Spend Limits act as a safety net by setting a controlled cap on workspace spending, in line with business goals, to prevent unintentional overspending.
Tightly control your monthly workspace budget by tailoring workspace spend on a regional, team, or individual basis, which can still be adjusted whenever needed.
Easily track and attribute spend by assigning a Cost Center code to employees. This provides booking and spend transparency for specific employee groups. There is the ability to view real time data through Desana Analytics and export results at the click of a button.

Desana’s simple approvals process allows customers to require assigned business administrators to approve a requested booking before it is confirmed with the workspace. This can be set up for one or all types of bookable resources on the platform, and for specific categories of employee.
Setting up approvals allows administrators to track and monitor spend, and query any high cost bookings to make sure these are totally essential and align with internal budgets. To help inform the admin decision, users are also prompted when requesting to submit information on why they need a particular booking.
Desana’s spend limits feature offers the ability to set a limit on how many credits an employee or group is allowed to spend each month creating bookings on Desana.
These can be set at an individual level, for a specific user group, team or region, or for all employees in the company. Separate limits can also be set up for different types of bookings, so that hot desk bookings are not limited but meeting room bookings are, for example.
To help your team make more informed decisions on what they choose to book, there is optional functionality that allows customers to make prices visible to employees when they're deciding what workspace and resource suits their needs.
Once activated, employees will be able to see a total currency value estimate for the hot desk, meeting room or private day office booking they're considering. For those with spend limits enabled, they will also see how much remains of their monthly budget. Setting limits still enables employees to make choices that suit their workspace needs, while staying within a designated budget.
We’ve made it easy to manage, track and attribute spend spend allocation by assigning bookings to specific cost centers.
A code is set up for an employee, and this code is then tracked through any bookings the employee makes, allowing customers to easily understand how many bookings and how much spend can be attributed to specific Cost Centers (groups of employees).
To help ensure owned offices are optimized, advanced geographic controls can be set at a country, regional or city level. This acts to turn off third party workspace locations that are in close proximity to existing HQ sites that employees should book into when near.
